How to recover data from a damaged HDD: the safe procedure

Clicking HDD, a disk that won't boot or keeps disappearing? What to do immediately, what to avoid and when software isn't enough. Practical advice from our lab in Brno.

The short answer: If your HDD is clicking, failing to boot, disappearing from the computer, or making unusual noises, switch it off and stop putting it through its paces. Do not run CHKDSK, do not format or initialise, and do not restart repeatedly. The safest approach is diagnostics, a sector-level clone, and only then working with the data.

A damaged disk tempts you to do one thing: „just try it once more". Connect it to another computer. Swap the cable. Run some software. Wait to see if it starts working.

With a healthy drive, this sometimes makes sense. With a damaged HDD, this is precisely the moment that determines whether your data remains readable, or whether the damage needlessly spreads. A hard disk is not just a little box with a connector. Inside, platters spin and read/write heads fly above them at a microscopic distance. When the mechanical parts fail, every subsequent power-on can worsen the condition of the platter surface, the heads, and your chances of a safe read.

How to recognise that an HDD is genuinely damaged

Not every disk problem means a mechanical failure. Sometimes it’s a faulty cable, a USB enclosure, a power supply issue, or a filesystem error. However, there are symptoms where it’s better to switch the disk off and stop experimenting:

  • the disk clicks rhythmically, knocks, or repeatedly spins up and spins down,
  • the computer freezes or slows down significantly when the disk is connected,
  • the disk appears in the system for a moment and then disappears,
  • Windows offers to initialise, format, or repair the drive,
  • copying stalls on the same files,
  • the disk’s sound changed after a drop, impact, or power surge,
  • SMART reports bad sectors, reallocated sectors, or read errors.

If the data is important, the main question is not „how to repair the disk". The main question is: how to safely read as much data as possible from it without making the condition worse. That is precisely why, for HDD data recovery, we first address the condition of the media and create a clone, rather than repairing Windows.

What to do immediately: a safe five-step procedure

1. Switch the disk off

For an external drive, disconnect the USB and power cables. For an internal drive, shut down the computer. If the disk is clicking or making a new mechanical noise, do not turn it back on „just for a moment".

2. Note down what happened

Keep it brief: fell off the desk, after a power cut, after an update, after a format, after attempting CHKDSK, after connecting to another computer. For diagnostics, this is often more important than lengthy technical descriptions.

3. Do not approve a format or initialisation

Windows sometimes offers the message „you need to format the disk before you can use it", or Disk Management shows an unknown partition. This does not mean the data is gone. It means the system does not know how to read the disk. Formatting or initialisation introduces writes that can complicate recovery.

4. Do not run repairs blindly

CHKDSK, automatic drive repair, manufacturer tools, and cheap recovery programs can be useful for logical errors. For a physically faulty disk, however, they increase the number of reads and writes. When the heads or the platter surface are behaving badly, software will not save the situation.

5. Decide based on the value of your data

If the data is replaceable, you can experiment. If the disk holds accounts, photos, projects, business documents, or an archive of orders, take a pause and seek advice first. A single consultation is cheaper than another hour of torturing a faulty disk.

What you should definitely not do

The worst damage arises not from the fault itself, but from attempts at DIY recovery.

Do not open the disk at home. Dust from the room must not get inside an HDD. Even if you just „lift the lid slightly", you contaminate the space in which the heads fly above the platter.

Do not put the disk in the freezer. This myth has persisted for years. It does not help with a mechanical head failure. Moreover, moisture condensation and further damage can occur upon removal.

Do not tap or knock the disk. If a head is scraping or the disk won’t spin up, impacts do not solve the problem. They can tear the heads off or damage the platter surface.

Do not run CHKDSK on a disk that clicks or disappears. CHKDSK is not a rescue tool for faulty hardware. It is a tool for repairing a filesystem. When it runs over a disk that cannot read stably, it can worsen the condition.

Do not install recovery software onto the same disk. If you are dealing with deleted data or a format, every write to the original disk reduces your chances of recovery.

When software helps and when it no longer does

Software has its place. You just need to know when.

It typically helps when:

  • you have deleted files and the disk is otherwise healthy,
  • a quick format took place,
  • a partition was lost, but the disk reads smoothly,
  • the partition table is missing or the filesystem is damaged,
  • the disk makes no unusual noises and SMART doesn’t look critical.

Conversely, software is not enough when:

  • the HDD clicks or knocks,
  • the disk disconnects itself,
  • reading stops on bad sectors,
  • the disk has fallen or suffered an impact,
  • the computer freezes with the disk attached,
  • the disk reports an increasing number of read errors.

For physical faults, you first need a stable sector-level clone. Only then do you address the filesystem, folders, and specific files from that clone. That is the difference between data recovery and torturing a faulty disk for hours with ordinary software.

How HDD data recovery works in a laboratory

The procedure varies depending on the fault, but the principle is similar:

  1. Intake and description of the situation. What happened, what has already been attempted, which data is most important.
  2. Diagnostics without unnecessary stress. We check the electronics, the sound, disk identification, and the probable fault type.
  3. Deciding whether a clean environment is needed. For mechanical failures of hard disk drives, the disk is not opened on a desk, but in an appropriate environment.
  4. Stabilisation and reading. The aim is not to repair the disk for further use. The aim is to read the data safely, ideally sector by sector.
  5. File recovery from the clone. Only once we have a clone do we address the folder structure, missing files, and result verification.
  6. Data handover. The data is handed over on a different medium. The original faulty disk is no longer used as a working storage device.

This is why we sometimes say that „HDD repair" is an inaccurate term. With data, it is not about putting the old disk back into service. It is about extracting its contents before the media deteriorates permanently.

How much price and diagnostics play into this

The cost of data recovery depends on whether it’s a logical error, bad sectors, electronics, mechanical failure, damaged platters, or a combination of several problems. The same drive model can mean a simple recovery on one occasion and work in a clean environment with a donor on another.

That is why it makes no sense to promise a price based solely on the sentence „I have a damaged HDD". The fair approach is diagnostics, an explanation of the fault, an estimate of the chances, and a firm quotation before the actual recovery work. Frequently asked questions

Can I connect the damaged HDD one more time and quickly copy something?

If the disk clicks, disconnects itself, or its sound changed after a drop, we do not recommend it. One successful start sometimes works, but the next attempt can worsen the condition. For important data, it’s better to start with diagnostics.

Is it better to try a different cable or USB enclosure?

When the disk makes no unusual noise and the problem appears to be power or USB related, swapping the cable makes sense. If the disk clicks, knocks, or repeatedly spins up, the cable probably won’t solve the problem.

What if Windows offers to repair the drive?

Do not approve it if there is important data on the disk. Automatic repair can write changes to the filesystem. For a faulty disk, this is not a safe first step.

Will Recuva, TestDisk, or PhotoRec help?

They can help with deleted files or logical errors. They don’t address the root cause for a mechanically damaged HDD. If the disk reads unstably, recovery software just adds further stress.

Can a damaged HDD be repaired and used again?

That is not the goal in data recovery. A faulty disk that has been worked on is not considered a reliable medium. Data is handed over on a different storage device, and the original disk should be decommissioned.
